Getting started
- What is Truckcess?
- Truckcess is an all-in-one trucking platform with three parts: a free License Vault that stores your CDL, medical card, and licenses with expiration reminders; a CDL Academy with courses, practice tests, flashcards, and a pre-trip inspection trainer; and an Owner-Operator Suite for running the business — loads, expenses, invoicing, driver settlements, maintenance, and an AI Fleet Advisor.
- Who is Truckcess for?
- CDL students preparing for their permit and road tests, company drivers who want their licenses organized with expiration reminders, and owner-operators or small fleets (typically 1–5 trucks) who want one app for loads, money, and maintenance instead of spreadsheets.
- Is there a free trial?
- Yes. Every new account gets a 7-day free trial of the Owner-Operator Suite with 1 truck included — no charge unless you subscribe. The License Vault is free forever regardless of whether you ever subscribe.
- Do I need a credit card to sign up?
- No. Creating an account, using the free License Vault, and taking the 7-day trial require no payment method. You only enter a card when you choose a paid plan, and payment is handled by Stripe on a secure checkout page.
- How do I create an account?
- Sign up with your email and a password, then click the verification link we email you. Your account activates the moment you verify — unverified signups are never added to our user records.
Pricing & plans
- How much does Truckcess cost?
- License Vault: free forever. CDL Academy: $18/month. Owner-Operator Suite: $39/month with 1 truck included. All-Access (Academy + Owner-Operator Suite): $50/month. Additional trucks are $25/truck/month as a fleet add-on. All plans are billed monthly with no long-term contract.
- Can I switch plans or cancel anytime?
- Yes. Plan changes and cancellation are self-serve in Settings → Billing. When you cancel, you keep access through the end of the period you already paid for, and your free License Vault keeps working after that.
- What happens when my free trial ends?
- Your data is preserved. If you subscribe, you pick up exactly where you left off. If you don't, the business tools lock but your account and the free License Vault stay fully available — nothing is deleted.
- Do you offer refunds?
- Subscriptions can be cancelled anytime and you keep access for the period already billed. See our Refund Policy page for the full terms.
- Do you offer bulk or organization pricing?
- Yes. Schools, school districts, workforce and government programs, and fleets can buy blocks of CDL Academy seats at volume rates ($109–$149/seat, in 20/50/100-seat blocks, with custom quotes above 100). Seats never expire until a student activates one, each activation unlocks 12 months of access, and you get an exportable admin roster plus each finisher's completion certificate. Free License Vault
- What is the License Vault?
- A free, secure place to store your CDL, DOT medical card, TWIC, insurance cards, and any other credential — with the expiration date tracked and reminders sent before anything expires (60, 30, and 7 days by default). At a roadside check, you can pull up a scan in seconds.
- Is the License Vault really free?
- Yes — free for every account, no subscription required. Free accounts include a set number of document-scan slots; you can unlock more by inviting another driver, or store unlimited documents on any paid plan. Expiration tracking and reminders are free with no limits.
- What file types can I upload?
- Photos (JPEG, PNG, WebP, HEIC) and PDFs up to 10MB each. Files are stored in private cloud storage — never in a public location — and can only be opened by your signed-in account.
- How do expiration reminders work?
- You set the expiration date when you save a credential. Truckcess reminds you in-app and by email before it expires — by default at 60, 30, and 7 days out, and again if it lapses. You can customize the reminder schedule per document.
CDL Academy
- What does the CDL Academy include?
- Structured courses covering General Knowledge, Air Brakes, Combination Vehicles, Pre-Trip Inspection, and endorsements (Hazmat, Tanker, Doubles/Triples, Passenger, School Bus) — plus practice quizzes, smart flashcards with spaced repetition, an interactive pre-trip inspection trainer with exam simulation, read-aloud audio for studying on the road, and a completion certificate with QR verification.
- Is any of the Academy free?
- Yes — the CDL Program Orientation course is free for every account, so you can see exactly how the program works before subscribing. The full course catalog unlocks with the CDL Academy plan ($18/month) or All-Access ($50/month).
- Does the Academy replace CDL school?
- No. The Academy is a study and preparation tool for the CDL knowledge and pre-trip exams. It does not replace state-required Entry-Level Driver Training (ELDT) or behind-the-wheel instruction. Always confirm your state's licensing requirements.
- Do I get a certificate?
- Completing a course earns a certificate with a QR code that anyone can scan to verify it's genuine. It documents your course completion in Truckcess — it is not a government-issued credential or license.
Business tools (Owner-Operator Suite)
- What business tools are included?
- A drag-and-drop loads board (planned → dispatched → in transit → delivered), dispatch with driver/truck assignment, expense tracking with receipt uploads, professional invoicing from trips, driver settlements, maintenance scheduling by date or mileage, a full odometer audit trail with deadhead-mile tracking, document expiration alerts for trucks and drivers, analytics, and an AI Fleet Advisor.
- Does Truckcess file IFTA for me?
- No — Truckcess does not calculate or file IFTA fuel taxes. It does capture everything your IFTA service or accountant needs: export your trips and fuel expenses (with state and gallons) as CSV in a couple of clicks.
- Does Truckcess connect to my ELD?
- There is no live ELD connection. If your ELD provider (Samsara, Motive, and others) can export a CSV, upload it in the Import Center to bulk-import trips with accurate mileage — the importer auto-detects common provider formats and prevents duplicate imports.
- Can I invoice brokers and track payments?
- Yes. Create an invoice directly from a completed trip (trip details auto-fill), download it as a document to send, and track its status from draft to paid. Broker profiles accumulate payment history so you can see who actually pays on time.
- What is the AI Fleet Advisor?
- An assistant that analyzes your own fleet data — profitability, cost per mile, cash flow, broker payment behavior — and answers how-do-I questions about the app. AI can make mistakes, so verify important numbers before acting on them; fair-use limits apply to keep the service fast for everyone.
- How does mileage tracking stay accurate?
- Every odometer change — trip completion, fuel stop, manual correction — flows through one audited pipeline with a full history per truck. When a load is delivered you can enter the ending odometer; the system computes actual vs planned miles and lets you record deadhead (empty) miles and detour notes, and maintenance reminders recalculate automatically.
Billing & account
- How is payment handled?
- All payments run through Stripe on a secure hosted checkout page. Truckcess never sees or stores your card number.
- How do I reset my password?
- Use "Forgot your password?" on the sign-in page. We email you a secure reset link that works for one hour. Email and username matching is case-insensitive, so capitalization never locks you out.
- Can I delete my account and data?
- Yes. Account deletion removes your personal data, and License Vault documents are purged from storage — not just hidden. Export your business data as CSV first if you want records for taxes.
Data & security
- Where is my data stored?
- Your records live in an encrypted cloud database, and uploaded documents (licenses, receipts, PODs) live in private cloud object storage. Documents are only ever served through authenticated links tied to your account — there are no public file URLs.
- Who can see my documents?
- Only your signed-in account. Documents are stored in a private per-user space and every request is ownership-checked on the server.
- Can I export my data?
- Yes — trips, expenses, and invoices export as CSV anytime, which is also the recommended way to hand records to your accountant or IFTA service.
Support
- How do I get help?
- Signed-in users have a Help Center with guides, a support ticket system with ticket tracking, and an AI support assistant. Anyone can email info@mytruckcess.com. Most questions about pricing and features are answered right on this page.
- I found a bug — where do I report it?
- Open a support ticket from the Support page (you'll get a ticket ID to track it) or email info@mytruckcess.com with what you were doing and what happened. Screenshots help a lot.
